Privacy Policy

How Creative Fitness NYC collects, uses, protects, and limits access to personal information across the CFIT platform, coaching services, assessments, nutrition features, and related services.

Our approach: CFIT uses personal information to deliver and personalize coaching. We limit access by role, use service providers to operate the platform, and design AI-assisted drafting to exclude unnecessary direct identity and contact information.

1. Information We Collect

We may collect information that you provide directly to us, information generated through your use of CFIT services, and limited information received from service providers that support our operations.

Account and identity information may include your name, preferred name, email address, phone number, date of birth, pronouns, occupation information, emergency-contact information, account identifiers, account status, and authentication information.

Fitness and training information may include your fitness goals, training experience, current exercise habits, preferred training frequency, preferred session duration, available equipment, preferred training times, sports or activities, exercise preferences, accessibility needs, and training notes.

Health-related fitness information may include information you choose to provide about injuries, surgeries, medications, medical conditions, pain, mobility concerns, allergies, exertion-related symptoms, physical limitations, recovery, sleep, stress, and other information relevant to providing safer and more personalized fitness services.

Body and assessment information may include age, height, current weight, goal weight, activity level, movement information, and other measurements used for fitness or general-wellness programming.

Nutrition information may include nutrition goals, dietary patterns, food restrictions, allergies, disliked foods, diet traits, water intake, takeout habits, willingness to track food, cooking preferences, meal-preparation habits, nutrition challenges, and related notes.

Assessment media may include photographs or videos that you voluntarily upload for movement, fitness, or form assessment.

Workout and progress information may include completed workouts, exercise performance, session duration, workout difficulty, check-ins, weight trends, energy, pain, confidence, sleep information, member notes, and other progress information.

Program and scheduling information may include program enrollment, program dates, coaching frequency, assessment scheduling, session bookings, attendance, session allowances, and program status.

Transaction information may include purchase status, subscription information, payment dates, Stripe customer and transaction identifiers, purchased program, billing option, and related transaction records.

Creative Fitness NYC does not store your full payment-card number in the CFIT database. Payment-card processing is handled by our payment processor.

2. How We Use Your Information

We may use personal information to create and maintain your CFIT account; provide fitness coaching and CFIT Method programming; personalize training; provide general-wellness nutrition guidance; conduct movement and fitness assessments; monitor workout completion and progress; schedule and manage coaching sessions; process purchases, subscriptions, renewals, and program access; communicate with you about your account and services; provide customer support; maintain security; improve the CFIT experience; satisfy legitimate business and recordkeeping needs; comply with applicable legal obligations; and use artificial intelligence to assist with coach-reviewable training and nutrition drafting where applicable.

We seek to collect and use only information reasonably necessary for these purposes.

3. AI-Assisted Coaching and Data Minimization

Creative Fitness NYC uses artificial intelligence as an internal coaching-assistance tool.

When AI-assisted programming is used, relevant fitness, wellness, nutrition, training, assessment, and progress information may be processed by an AI service provider to help generate a proposed training or nutrition draft.

CFIT is designed to exclude unnecessary direct identity and contact information from AI drafting requests. Information such as your email address, phone number, preferred name, date of birth, and emergency-contact information is not intended to be sent to the AI service simply to generate a coaching draft.

Your name, email, phone number, and other account information may still be maintained within CFIT systems where needed for account management, coaching, communication, scheduling, billing, or related services.

AI-generated training and nutrition plans are treated as drafts subject to coach review and approval before being treated as approved CFIT programming. AI is not used to diagnose medical conditions or replace care from a qualified medical professional.

4. Assessment Photos and Videos

If your program includes movement-assessment photographs or videos, those files may be stored as part of your CFIT assessment record.

Assessment media may be used to evaluate movement, posture, mobility, exercise technique, progress, or program design.

Providing assessment media does not automatically authorize Creative Fitness NYC to use your image for advertising, testimonials, social media, or other promotional purposes. Promotional use requires separate authorization.

5. Payments

Payments may be processed through Stripe. Stripe may collect payment-card information and other information necessary to complete transactions. Creative Fitness NYC may receive and retain transaction identifiers, payment status, subscription information, purchased services, and related billing records.

We do not receive or store your complete payment-card number in the CFIT database.

6. Service Providers

We rely on third-party providers to operate portions of the CFIT platform and deliver services. Depending on the service you use, these may include Supabase for authentication, databases, application infrastructure, and storage; Stripe for payment and subscription processing; OpenAI for AI-assisted generation of coach-reviewable training and nutrition drafts; and scheduling, video, email, hosting, security, and communications providers.

These providers may process information only as needed to perform services supporting CFIT operations, subject to their own contractual and privacy obligations.

7. Who Can Access Your Information

Access to CFIT information is intended to be limited according to role and purpose. Members may access information associated with their own account where supported by the platform. Authorized Creative Fitness NYC coaches and administrators may access client information when reasonably necessary to provide coaching, programming, nutrition support, scheduling, account support, billing, or administrative services.

The core CFIT database uses access-control measures, including Row Level Security, to help restrict members to their own records and limit broader access to authorized coach or administrator roles.

8. Security

Creative Fitness NYC uses administrative and technical safeguards intended to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures may include authentication controls, role-based permissions, database access policies, password-security controls, encrypted network connections, and restricted administrative access.

No Internet-connected service can guarantee absolute security.

9. Health and Wellness Information

Some information collected by CFIT, including injuries, medications, medical conditions, pain, weight, nutrition information, mobility information, and assessment data, may be sensitive.

Creative Fitness NYC provides fitness and wellness services and does not use this information to diagnose or treat medical conditions. If you have a medical concern, seek guidance from an appropriately qualified healthcare professional.

10. Data Retention

We retain personal information for as long as reasonably necessary to provide your services; maintain your account and program history; satisfy legitimate business and recordkeeping requirements; manage billing and transactions; resolve disputes; prevent fraud or misuse; maintain security; and comply with applicable legal obligations.

Information should not be retained longer than reasonably necessary for the purpose for which it was collected, subject to legitimate legal, financial, or operational requirements. Specific retention periods may vary by record type.

11. Your Privacy Choices

You may contact Creative Fitness NYC to request information about personal information associated with your account, correct inaccurate information, update your account information, request deletion of certain personal information where deletion is legally and technically permitted, or ask questions about how your information is used.

Some information may need to be retained for legal, financial, security, fraud-prevention, dispute-resolution, or legitimate recordkeeping purposes.

12. Account Deletion

You may request deletion of your CFIT account and associated personal information. Account deletion may not remove information that Creative Fitness NYC is required or reasonably permitted to retain for legal, financial, security, fraud-prevention, dispute-resolution, or recordkeeping purposes.

13. Cookies and Website Technologies

The Creative Fitness NYC website and CFIT platform may use cookies or similar technologies necessary for functionality such as authentication, session management, preferences, security, analytics, or site performance.

We periodically review the technologies used on our website and platform and may update this policy if additional analytics, advertising, or tracking technologies are introduced.

14. Sale of Personal Information

Creative Fitness NYC does not sell the fitness, injury, nutrition, assessment, coaching, or Blueprint information you submit to data brokers for monetary compensation. We do not use your CFIT Blueprint as an advertising product.

15. Children and Minors

CFIT services are primarily designed for adults. Until Creative Fitness NYC establishes a separate process for minors, individuals under 18 should not independently create a CFIT account or submit sensitive fitness or health-related information without appropriate parental or guardian involvement.

16. Data Incidents

If Creative Fitness NYC becomes aware of unauthorized access to personal information, we will assess the incident and take reasonable steps consistent with applicable law and the nature of the information involved.

17. Changes to This Privacy Policy

We may update this Privacy Policy as CFIT services, technology, service providers, business practices, or legal requirements change. When material changes are made, we will update the effective date and provide additional notice where appropriate.
